The Engineering and Development Group (Edgo) is an international company focused on the energy services sector. Since its inception in 1956, Edgo has grown into a diverse and successful multidisciplinary business, providing oilfield services and support operations to the oil and gas industry in the Middle East and Africa. Edgo was looking for a technology solution to digitize the Travel Expense management, so Nabil Shalan, Senior IT Manager, contacted KAISPE and showed interest in KAISPE Expense Report App developed using Microsoft Power Platform. With its highly flexible and configurable workflow, KAISPE was able to successfully implement the solution resulted in 80% gain in business productivity.

A multi-location organization with complex travel expense management process was facing difficulty managing the expenses

Edgo is a diverse and multidisciplinary company operating in 35 locations in 20 countries. Their experienced teams deliver oilfield services and support operations throughout the Middle East and Africa. Edgo pioneering spirit and resilience has seen us succeed in some of the world’s harshest and most physically complex environments.

Having offices in multiple global locations, Edgo was struggling with managing the business travel expenses. Their current process was manual and too cumbersome. They were not able to itemize the expenses with proper expense categories, approval workflow was manual with lots of paperwork, hard copies of receipts were maintained for expenses and above all, manual control on expenses was present. Since Edgo has been using Microsoft Dynamics ERP as their backend business application, they had a mandatory requirement to integrate Expense Management with the ERP.

While looking for a technology solution to digitize the expense management process, Nabil came across KAISPE Expense Report app on Microsoft AppSource. Founded in 2018, KAISPE focuses on helping customers with their digital transformation journey by using Microsoft technology, including Microsoft Azure, Microsoft Dynamics and the Microsoft Power Platform. After the very first Product Demo, Nabil was impressed with how KAISPE app was offering highly configurable approval workflow with flexible expense control policies.

Strong internal control on expenses with configurable policies

KAISPE app provides a configurable way to define expense policies with custom violation messages to the app user based on expense categories and keeps audit history of any violations occurred. Edgo was able to define their own expense policies resulted in strong internal control in place.

“Using KAISPE app, we were able to achieve the internal control we wanted to above and beyond. Audit history against each violation on expense reports helps us getting insights to further improve this control”, Nabil said.

Highly flexible expense itemization and approval workflow

Edgo required its employees to provide a detailed breakdown of expenses incurred during a travel trip. Using KAISPE Expense Report app, users were able to select the expense category along with relevant subcategory on expense entry making it possible to report the expense on a more granular level.

Edgo had a very complex workflow requirement for expense review that involved multiple personas on multiple locations. Thanks to the underlying Microsoft Power Automate workflow platform strength, KAISPE app offered configurable workflow options to cater these requirements. With the workflow configuration implemented, Edgo was able to achieve the desired automation along with a strong notification mechanism and flexibility for reviewers to review the expense report using Email, Microsoft Teams and other mediums.

“We were amazed with some of the very unique features that KAISPE Travel Expense app provides, like approval workflow, policy management, receipt capturing in real time and expense itemization. The solution has greatly help us achieving the end-end business integration.”, Nabil Shalan, Edgo.

In this blog I will teach you how you can use Power Virtual Agents and in that, we will learn how to create a bot, create topics for conversation and more interesting things like entities, variables, topic-redirects and publish your bot to a demo website for fun. But we will also get the bot to take some actions using Power Automate which I think it’s a huge plus in this platform.

Scenario:

The scenario we will cover helping customers to create an inquiry case for their products and to provide update information for their cases to keep updated with their open inquires.

You can start free or sign in with this URL to get started. Once you sign in, you will find yourself in homepage like in image below and click the red box icon to create new bot:

So, just to orient you around what we have got inside this platform.

On left side we have:
Home – Where you have multiple option with testing your created bot etc.
Topics – Which are the main part we will be focusing on in order to create our bot.
Entities – Working with text, extract key information from text which allow bot to recognize thing like age, email, color etc.
Analytics – Comes with built-in dashboard that allows you to see which topics are escalating and which are resolves also customer satisfaction etc.
Publish – Once you built your bot you can publish it in order to go live.
Manage – Where you have option to deploy your bot and embed in your custom website, MS Teams and many more.

Let’s create a new topic for our scenario. Click New topic to start

So, lets give it a name of our topic and add some phrases for bot to understand which topic to trigger

Next, we have to add an action in next to ask a question whether to create a new case or want an update on an existing case which will automatically add variable and condition

To update customers for their case inquiry, we have to ask case number and add flow to communicate with backend ERP.

Power Automate flow:

To create a new case with given options above, we have to get information like their name, product they are inquiring about etc.

Once we get all required information to create a new case for it we can connect Power Automate flow for create a new case and responds them back with their created case number.

Power Automate flow:

Now, your bot is ready. Publish your bot and test in you demo website.

Test bot screenshot in demo website:

Dealing with Parent Child data in Power Portal and Power Automate scenario’s can be a little challenging. In this blog, I will show you how to handle from Common Data Service and Portal Management.

First of all, we will create two entities.

kspInvoiceHeader

kspInvoiceLine

Now Create one to many using kspInvoiceHeader “OR” many to one using kspInvoiceLine relationship in between kspInvoiceHeader and kspInvoiceLine.

Now open Portal Management in powerapps, goto Entity Permissions.

Create two entity permissions.

InvoiceEntityPermission

InvoiceDetailPermission

In InvoiceEntityPermission, Select entity name, your website, and Scope.

I am going to select Contact Scope because I want to display only Current Portal Sign in user data.

Ok! Now for InvoiceDetailPermission, Select entity name, your website and Scope.

Your Scope should be Parent for this.

In Parent Entity Permission, Select the InvoiceEntityPermission and Select relationship which was created on CDS.

Now handling GUID’s from Flow.

Organizations are committed to optimizing the use of resources to deliver the required business results. The goal is to enable smarter processes throughout the enterprise to enhance collaboration, reduce delivery time and bring cost-effectiveness. This is where robotic process automation (RPA) can help organizations; it helps companies automate their manual and repetitive processes through software robot labor.

Leveraging the Robotic Process Automation platform from Power Automate is a service that helps you create automated workflows between applications and services to synchronize files, get notifications, collect data, etc.

Using Power Automate, there are some processes that start immediately, while others seem to take some time to start. The difference between these processes is in how they operate.

Now, let’s take look at the different types of triggers and the difference in triggering these processes.

First, we need to sign in and click on Create. Here we will see three following flows:

Automated

Instant

Schedule

Automated Flow:

The automation flow is initiated by data events. For example, when a blob is added or modified in your container it sends an email with file attachment.

Instant Flow:

Instant flows do not have the same processes as automatic processes. Instead, they are triggered manually, such as when users click the flow button in a mobile app. For example, sends an email with contact information when the user clicks a button.

Schedule Flow:

Schedule flows does not have triggers, they simply run when schedule time arrives. For example, sends me an email with current weather on a define schedule.
